We've built a lot of dashboards. The ones that stick have one thing in common: they answer a specific question that someone cares about today.
The ones that get ignored have a different thing in common: they were built to look impressive in a meeting, not to be useful on a Tuesday morning.
Rule 1: One Dashboard, One Audience
The CEO doesn't need the same dashboard as the sales manager. The sales manager doesn't need the same view as a rep. Build separate dashboards for each audience with only the metrics they need to do their job.
Rule 2: Lead with Questions, Not Metrics
Don't start with "let's track revenue." Start with "Is our pipeline healthy enough to hit this quarter's target?" Then figure out which metrics answer that question: pipeline value by stage, conversion rates, deal velocity, team activity.
Rule 3: Tell a Story Top to Bottom
The top of your dashboard should show the big picture (KPI widgets: total revenue, pipeline value, conversion rate). The middle should break it down (by team, by source, by product). The bottom should show actionable detail (stale deals, top performers, upcoming renewals).
Rule 4: Make It Interactive
Add date range filters, team filters, and drill-down capability. A static dashboard is a screenshot. An interactive one is a tool.
Rule 5: Schedule It
Set up automated email delivery. Every Monday morning, the leadership team gets the pipeline dashboard in their inbox. No one has to remember to log in.

For most clients, we create three dashboards:
- Executive Dashboard: Revenue, pipeline health, monthly targets vs. actuals
- Sales Manager Dashboard: Team activity, deal velocity, stale deals, forecasts
- Marketing Dashboard: Lead sources, campaign ROI, conversion funnel
