When Should You Build a Custom App in Zoho Creator? (And When You Shouldn't)

Zoho Creator is one of those tools that can either save you a fortune or become a money pit, depending on whether you actually needed it in the first place.

We've built 30+ Creator apps for clients. Some were game-changers. A couple, honestly, could have been solved with a well-configured CRM layout. Here's how we decide.

Build a Creator App When...

  • Your process doesn't fit any standard Zoho module. Delivery tracking, vendor rating systems, equipment maintenance logs — these don't have a natural home in CRM.
  • You need a portal for external users. Customer portals, vendor submission forms, partner dashboards — Creator handles these well.
  • You're replacing a clunky spreadsheet that 5+ people use daily. If a Google Sheet is your "system," Creator can formalize it with workflows and access control.
  • You need mobile access with offline capability. Creator apps work on mobile out of the box.

Don't Build a Creator App When...

  • The problem can be solved with CRM customization. Custom modules, subforms, and related lists in Zoho CRM are often enough.
  • You're building it "just in case." If you can't articulate exactly who uses it and how, you don't need it yet.
  • The data already lives in another Zoho app. Duplicating data across Creator and CRM creates sync nightmares.

What a Typical Creator Project Looks Like

Most of our Creator projects take 2-4 weeks:

  • Week 1: Requirements gathering, wireframing
  • Week 2: Core app build, form design, basic workflows
  • Week 3: Integrations, reports, role-based access
  • Week 4: Testing, training, launch

Real Example

A logistics company came to us because their dispatch team was coordinating deliveries through WhatsApp groups. We built a Creator app with a dispatch dashboard, driver assignment, real-time status updates, and customer notification triggers. The WhatsApp group still exists — but now it's for memes, not work.
